Job Description
Job Purpose -To provide outstanding customer service to visitors, clients, and staff, one must greet and assist them with professionalism and courtesy. The role encompasses a variety of administrative tasks and office support activities.
Responsibilities
- Welcome visitors and ensure a positive first impression of the company. Direct them to the appropriate person or department
- Answer and route incoming calls to the correct individuals or departments. Take messages and provide information to callers as needed.
- Maintain a visitor log, issue visitor badges, and ensure security protocols are followed for all visitors.
- Assist in scheduling appointments, meetings, and conference rooms for staff and clients.
- Monitor and respond to general email inquiries and forward messages to relevant parties.
- Sort and distribute incoming mail, prepare outgoing mail, and coordinate courier services as necessary.
- Assist with various administrative tasks, including data entry, filing, photocopying, and document preparation.
- Provide exceptional customer service to clients, visitors, and staff by addressing inquiries and requests promptly and professionally.
- Assist in preparing meeting materials, setting up conference rooms, and providing logistical support for meetings in the absence of Office Assistant.
- Ensure the reception area is clean, organized, and presentable always. Report any maintenance issues promptly.
- Accurately enter and update data in spreadsheets or databases as required.
- Handle sensitive information and documents with discretion and maintain strict confidentiality.
- Any other duties as assigned to you from time to time such as Office Assistant duties in the absence of the incumbent to monitor cleanliness of office spaces, maintain boardrooms, supervisor cleaning etc.
Job Requirements
QUALIFICATIONS, KNOWLEDGE AND SKILLS:
GCE or Equivalent with Credits or Better in Five Subjects, Mathematics and English Included
Minimum of Diploma or equivalent Professional qualification in the related field
RELEVANT EXPERIENCE REQUIRED:
Not less than 2 Years Work Experience in a busy and complex work environment experience in a similar Position
