Job Description

PURPOSE

The role involves providing extensive administrative and secretarial support to the Chief Executive Officer of ZCCM-IH. This includes managing intricate calendars, coordinating travel plans, handling sensitive information with discretion, and ensuring seamless communication across the company.

 

RESPONSIBILITIES

  • Manage Chief Executive Officer (CEO) calendars, scheduling appointments, meetings, and travel arrangements.
  • Organize and coordinate internal and external CEO meetings, including preparing agendas, taking minutes, and ensuring follow-up actions
  •  Screen and manage incoming calls, emails, and correspondence, prioritizing responses and maintaining confidentiality as required.
  • Prepare and edit correspondence, reports, internal communication (speeches), presentations, and other documents on behalf of CEO
  • Act as a liaison between the CEO, Senior Management, internal teams, clients, and external stakeholders.
  • Conduct research, compile data, and prepare reports or presentations for meetings.
  • Maintain and organize filing systems, ensuring accuracy, completeness, and accessibility of documents.
  • Handle ad-hoc administrative tasks as required to support the CEO.

 

Job Requirements

QUALIFICATIONS, KNOWLEDGE AND SKILLS:

GCE or Equivalent with Credits or Better in Five Subjects, Mathematics and English Included

Bachelor’s degree in Business Administration, Finance, or a related field.

Proficient in office productivity software (MS Office suite) and experience with calendar management tools.

RELEVANT EXPERIENCE REQUIRED:

Experience of not less than 4 years in a similar role, in a busy and complex environment.

Strong leadership and interpersonal skills, with the ability to influence and motivate teams.

Excellent communication and presentation skills, with the capacity to engage with stakeholders at all levels.

Ability to manage multiple priorities and projects in a fast-paced environment.

Analytical mindset with a keen eye for detail and proficiency in data analysis.
